Privacy notice

This notice explains what personal information we collect when you use this website or book a stay, and what we do with it.

Who we are

The Acorn Library is run by Roots & Wings Devon Ltd (company number 14237953), Coombe Park Farm, Woodbury Salterton, Exeter, EX5 1PZ. We are the “controller” of your information. Contact us about anything in this notice at hello@theacornlibrary.com.

What we collect

When you book: your name, email address, phone number (if you give it), any message you send, your dates and number of guests, and the amount paid.
Payment details: these go directly to Stripe, our payment provider. We see only a record of the payment, not your card number.
When you contact us: what you send us by email or WhatsApp.
When you browse: our hosting provider keeps short-lived technical logs (such as IP addresses) to keep the site running and secure. We don’t use analytics or advertising trackers.

Why we use it

To take and manage your booking, send confirmations and check-in details, and handle any cancellation or refund. The legal basis is that it’s needed for our contract with you.
To reply to your questions. The legal basis is our legitimate interest in running the business.
To keep financial records, as the law requires.

We don’t sell your information, and we won’t send you marketing emails unless you ask us to.

Who we share it with

Only the services we need to run bookings, each of which acts on our instructions:

Stripe: payments
Cloudflare: website hosting and booking records
Resend: booking emails
WhatsApp (Meta): only if you choose to message us there

Some of these providers may process information outside the UK. Where they do, they use the safeguards required by UK data protection law. We may also share information where the law requires it, for example with HMRC.

How long we keep it

We keep booking and payment records for 6 years after your stay, because tax law requires it. Messages that aren’t part of a booking are deleted within 2 years.

Cookies and storage

This website doesn’t set cookies. It remembers the dates you’re looking at in your browser, only until you close the tab. The map is loaded from OpenStreetMap when you scroll to it. Stripe’s payment page uses its own cookies to prevent fraud; see Stripe’s privacy policy.

Your rights

You can ask to see the information we hold about you, and ask us to correct it, delete it, or stop using it. Some records we must keep for tax purposes. Email hello@theacornlibrary.com and we’ll reply within a month.

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put things right first.
